Use an FER when a school or department funds a facility improvement or installation. Use a Work Order for repairs and routine maintenance.

When you need an FER
- TVs or cameras mounted to buildings
- New power or data outlets
- Murals with VAPA review
- Accent paint, wall removal or additions
- Fencing or gate modifications
- Play, shade, or storage structures
- New AC where none existed
- Access control upgrades
No FER needed
- Routine maintenance (submit a Work Order)
- Posters or banners by Logistics
- Basic furniture purchases that do not affect safety or accessibility
How to complete an FER
- Propose the enhancement. Include who, what, when, where, why, how; attach photos and drawings. Add quotes if you have them.
- Admin review. Principal or site administrator signs.
- Funding approval. Director or manager signs if site or department funds any portion.
- Facilities Planning review. Scope check, site visit notes, M&O supervisor assignment, budget update.
- Endorsements and approval. CBO, Planning, and other departments as needed. After final approval the request becomes a Project and purchasing can begin.
